Adventure Patrol Iceland Terms and Conditions

The terms  “we”, “us” and “our” refer to Adventure Patrol Iceland, an Icelandic company. The terms, “traveller”, “you” and “your” refer to the person(s) purchasing a trip package from us and also include, where the context permits, all person(s) who will be using and enjoying that trip package. All trips are offered subject to our standard terms and conditions, which are detailed here, and are also located on our website www.adventurepatrol.is and by request.

Please review these terms and conditions carefully prior to completing your reservation.

Be aware that by payment of the deposit, you signify your agreement to be bound by these terms and conditions.

 Prices & Reservations

Our prices are in ISK Icelandic Krona.  We charge a single supplement to individual travelers who wish to ensure that they have private rooms throughout a trip.  To reserve and confirm your trip, we require a non-refundable deposit of 25% of the trip cost.  We reserve the right to increase the deposit amount for certain trips. The balance of your payment is due 30 days prior to departure. If you reserve your trip within 30 days of departure, immediate full payment is required. The deposit payment can be made by wire transfer, bank check, or credit card.

There may be minor changes in the prices of activities (outsourced) if the tour is booked more than 6 months in advance.

Cancellations & Refunds

We require written notification of cancellation from the traveler. Cancellation notifications received before final payment is due are subject to a cancellation fee equal to the deposit payments. Cancellation notifications received within 90-30 days prior to travel dates are subject to a cancellation fee equal to 25% of the invoiced amount of the trip; cancellation notifications received within less than 30 days prior to travel dates are subject to a cancellation fee equal to 100% of the invoiced amount of the trip. All travel documents, if issued, must be returned to us prior to any refund being issued. Refunds will not be given for unused travel services or any portion thereof. If cancellation by one or more travelers alters the room requirements of the remaining travelers, travelers still traveling may be required to pay a revised rate.

We make no exceptions to our cancellation policy for any reason, including personal or medical, weather or other forces of nature, acts of God, terrorism, civil unrest, strikes, international or internal flight cancellations, or any other reason beyond our control.  We strongly recommend you purchase trip cancellation or interruption insurance to protect yourself from unexpected circumstances before or during your trip.

We are not responsible for expenses incurred in preparation for or as a consequence of any canceled trips, such as airline tickets. We recommend confirming your trip with us before making rail/air arrangements that might be non-refundable.

Terms for the Pursuit for the Northern Lights Adventure

The Pursuit for the Northern Lights Adventure is available from Mid-August to mid-April when conditions are favorable; meaning weather, clouds, and aurora activity. The best approach is to plan for your northern lights tour at the beginning of your visit, which gives you leeway in case conditions are not favorable on your preferred night.

  • Adventure Patrol carefully monitors solar and weather conditions daily before making a decision on whether to go or not. We look at all the latest data and weather reports. We only go out when we think it is a good chance to see the lights and sometimes the weather or solar energy is just not favorable.
  • In the case of conditions not being favorable and the tour is subsequently canceled, we will automatically refund you the amount paid for the tour.
  • In the case where we do decide conditions are favorable and the tour is made but are unlucky not to see the northern lights then we will bring you again the next time conditions are favorable. This is based on guest availability. If the guests are not available on that day then the payment for the tour will be charged.

No Liability

Neither we, nor our directors, owners, employees, contractors, and agents shall be responsible or liable for, and the traveler forever and unconditionally releases all of the foregoing persons and entities from and in respect of any personal injury, death, property damage, inconvenience, loss of time, delays, or any other loss or damage, direct or indirect, which the traveler or other persons accompanying the traveler or their property may suffer or sustain as a result of or arising from:

  • participating in the travel package and any events or activities in conjunction with the travel packages; or
  • failure on the traveler’s part to make timely payments to us or any other service provider; or
  • any act, omission, or negligence of any direct air carrier, motor coach company, hotel or any other person or company providing any accommodation or event or activity or other goods and services in conjunction with the travel package; or
  • cancellation of flight or other travel arrangements; or
  • theft, accident or mechanical breakdown; or
  • weather or other forces of nature acts of God, government action, civil unrest, strikes, and any other causes beyond our control.

Responsibility

We will not assume responsibility for any company or person who fails to provide goods or services that have been contracted for any of its events and tours. In such a case, alternative goods or services will be sought on a best efforts basis but cannot be guaranteed.

Incidental Charges/Hotel Charges

Traveler agrees to be responsible for all incidental charges incurred in excess of those covered by the package and, if billed to us, such incidental charges are payable to us by the traveler on our demand. Incidental charges can include food, beverages, telephone and internet use, parking fees, and other hotel charges. All hotels require a credit card or deposit for incidental charges at the time of check-in.

Credit Card Payments

Traveller’s authorization to use his credit card number for the deposit and/or final payments indicates the traveler’s complete compliance with our booking terms and conditions, whether or not the traveler has actually signed the appropriate draft. Verbal authorization of the traveler’s credit card confirms the traveler’s reservation.

Use of Photographs, Likenesses, and Testimonials

In further consideration for participating in the trip, the traveler agrees that we, or our designate, may use any photographic, video, or film records of the trips for promotional and/or commercial purposes, without any remuneration to the traveler. The traveler assigns to us all right, title, and interest travelers may have in or to any media in which traveler’s name or likeness might be used by us.  Traveler agrees that we may use for promotional and/or commercial purposes without any remuneration to the traveler any testimonials the traveler may provide to us and for that purpose traveler assigns to us all rights to such testimonials.

Jurisdiction

These terms and conditions shall be governed by the laws of Iceland where applicable. Any disputes regarding these terms and conditions shall be resolved exclusively in Icelandic courts.

Traveler has read, fully understands, and agrees to be legally and contractually bound with Adventure Patrol by these terms and conditions.
